Frequently asked questions
Answers to common questions about booking, hosting, payments and safety on bookaLEAP.
What is bookaLEAP?
bookaLEAP connects people who want to move, learn and train with the Experts, venues and communities who offer it. You can discover events and Experts, book and pay in one place, and keep track of everything you've booked.
What is a Leaper?
A Leaper is anyone who uses bookaLEAP to find and book events, sessions and session packs. When you sign up and choose the Leaper account type, you can browse, book, pay, message the Experts you've booked with and leave reviews.
What is an Expert?
An Expert is an account that offers sessions and events on bookaLEAP — for example a coach, trainer or instructor. "Expert" is an account type, not a certification: our team reviews Experts before they can publish, but it's always up to you to decide who's right for you.
What is an Organization, and what's the difference between a Location, a Community and a Brand?
An Organization is a group page that Experts run together. There are three kinds: Location — a physical place such as a gym, studio or club that hosts events. Community — a group of people who train or meet together; anyone can join and get notified about its new events. Brand — a company or label that organizes events and works with Experts.
Organizations are created by Experts and approved by our team before they appear publicly.
What's the difference between an Event, an Event Series and an Appointment?
An Event is a group activity at a set date and time with a limited number of spots — you register for a spot. An Event Series is a recurring event (for example every week). You can book single dates or, when offered, a bundle of dates at once. An Appointment is a one-on-one session you book with an Expert through one of their Services, at a time slot from their availability.
What is a Service?
A Service is a session an Expert sells directly, which you book as an Appointment at a time from their availability. An Expert can also sell packs of a Service's sessions: you buy several sessions up front and book them one by one. You'll find your packs under Bookings → Punch cards.
Do I need an account to browse?
No. You can browse Discover, search, view events, Expert profiles and organizations without an account. You only need to sign in to book, pay, message or leave a review.
Is bookaLEAP available in other languages?
bookaLEAP is currently available in English. Dates, times and prices are shown in the format of your device's region.
How do I sign up or log in?
You can sign up with your phone number (we text you a one-time code) or continue with Google or Apple. After that we'll ask for a few details, verify your email address, and let you choose your account type — Leaper or Expert — and accept the Terms.
I didn't receive my code. What should I do?
Check that your phone number is correct, including the country code, and wait a minute before asking for a new code. If it still doesn't arrive, contact us.
Can I become an Expert later?
Your account type is chosen during sign-up. If you want to offer sessions or events and signed up as a Leaper, contact us and we'll help.
How do I edit my profile?
Go to Profile and choose Edit. You can update your photo, name, bio and social links there.
How do notifications work?
We notify you in the app, by push notification on your phone (if you allow them) and by email — for example for booking confirmations, reminders, cancellations, changes to your booking, payouts and invitations. We only send text messages for sign-in codes.
How do I download a copy of my data?
On your Profile page, request a data export. We prepare it in the background and let you know when it's ready to download. The download link expires after a while, so download it soon.
How do I delete my account?
On your Profile page, choose to delete your account. You'll see a preview of what will be removed before you confirm. Our team processes the request; for Leapers all personal data is removed. For Experts we're legally required to keep some details (such as name and tax number) for tax reporting. See our Privacy Policy for details.
How do I find events and Experts?
Use Discover for a feed of upcoming events and Experts, or Search to look for something specific by keyword, category, tags and date. You can also browse on the map.
How do I book an event?
Open the event, choose Register (or the price button for paid events), answer any questions the organizer asks, and pay. Your spot appears under Bookings → Upcoming. Registration closes a while before the event starts — the event page shows when.
How do I book an Appointment with an Expert?
Open the Expert's profile, choose one of their Services, pick an available time slot and pay. The Appointment appears under Bookings.
What is an Event Series bundle?
For some recurring events the organizer offers a bundle: you pay once for several dates of the series, usually at a better price than booking each date separately.
How do punch cards work?
A punch card is a pack of sessions bought from an Expert. Each time you book a session from it, one session is used. Bookings → Punch cards shows how many sessions you have left and when the pack expires.
Which payment methods can I use?
You can pay by card (including Apple Pay and Google Pay where your device supports them). For payments in euros, iDEAL and Multibanco are available too. You can also use your Leap Coins.
How do I use a promo code?
Enter the code at checkout before you pay. The discount is shown before you confirm. Promo codes are issued by Experts and may only apply to certain events or Services.
How do I cancel a booking?
Open the booking under Bookings and choose Cancel. Before you confirm, you'll see what you'll get back, if anything — the booking shows the exact time each step ends. Events: cancel soon after paying and your money goes back to your original payment method. After that, cancelling up to a set time before the event starts refunds you in Leap Coins. Closer to the start you can still cancel to free your place, but you get nothing back. Once the event has started, it can no longer be cancelled. Services: cancel soon after paying and your money goes back to your original payment method; after that you get Leap Coins. Either way, cancel before the cancellation deadline shown on the booking — after it, the booking can no longer be cancelled. A session booked from a pack goes back onto your pack instead.
A free registration can be cancelled any time before the event starts.
Why did I get Leap Coins instead of my money back?
Your money goes back to your original payment method when you cancel soon after paying (never after a Service's cancellation deadline). The booking shows how long that lasts. After that, cancelling in time refunds you in Leap Coins, which you can spend on your next booking — for an event until the cutoff shown on the booking, for a Service until its cancellation deadline. Close to an event's start, cancelling gives no refund at all. If the session was booked from a pack, the session goes back onto your pack instead. If you think your situation justifies a refund anyway, you can ask for one from the booking.
How do I request a refund?
Open the booking and choose Ask for a refund, pick a reason and add any details. You can ask until the session or event starts, even when the cancellation rules give you nothing back. Our team reviews every request and you'll be notified of the decision; if we approve it, we refund you in money or in Leap Coins and tell you which.
What happens if an Expert cancels or reschedules?
If the Expert cancels, you get a full refund to your original payment method and a notification. If a session is rescheduled, you're notified of the new time and your booking moves with it — if the new time doesn't work for you, you can cancel within the deadline.
Can I reschedule an Appointment?
Yes — open it under Bookings and choose a new available time, as long as the cancellation deadline hasn't passed. The Expert is notified automatically.
What are Leap Coins?
Leap Coins are bookaLEAP credit. You earn them when you book, when you leave a review, through referrals, and when you get a refund for a cancelled booking. You can spend them at checkout. Your balance and history are on your Profile.
How does the referral program work?
Share your personal referral link from your Profile. When a friend signs up with it, you both get Leap Coins.
How do I leave or edit a review?
After a completed event or Appointment you'll be asked to review it. You can also leave a review from the booking under Bookings → Past. You can edit or delete your own review later.
How do I message an Expert?
Once you've booked with an Expert, you can message them from Messages or from your booking. Messaging is only available between people who have a booking together.
How do I save my favorite Experts?
Tap the heart on an Expert's profile. You'll find them under Favorites.
How do I add a booking to my calendar?
Use Add to calendar on the event or booking page to add it to Google Calendar, Apple Calendar, Outlook or any other calendar app.
How do I become an Expert?
Sign up and choose Expert as your account type. Our team reviews new Experts; while you wait you can already set up your profile and prepare drafts, but you can only publish once you're approved.
What is the "Get started" checklist?
After signing up as an Expert you'll see a short checklist of the steps that let your profile take bookings. Connecting Google Calendar is required; the rest you can finish whenever you like.
How do I connect Google Calendar, and why is it required?
Go to Settings → Google Calendar and choose Connect, then sign in with your Google account. We use it to avoid double bookings and to add your bookings to your calendar automatically. You need a connected calendar before you can create a Service. If the row says the sync stopped, reconnect it there. Only Google Calendar is supported at the moment.
How do I set my availability?
Go to Manage → Availability and set the days and times you can be booked. Clients can only book Appointments inside your availability.
How do I create a Service?
Go to Manage → My services and choose Create service, then set the details and price. Services go live as soon as you create them, and you can add packs of sessions to a Service. You can deactivate a Service later; clients who already bought a pack keep their remaining sessions.
How do I create an event or a recurring series?
Go to Manage and choose Create event. Add the title, description, date and time, location (or online), capacity and price. To repeat it, set a recurrence to create an Event Series.
Why is my event still a draft?
Events start as drafts that only you can see. When yours is ready, submit it for review: our team checks it before it's published, and you'll get a notification once it's live.
Why can't I charge for an online event?
Online events are always free on bookaLEAP. You can charge for in-person events.
Can I ask participants questions when they register?
Yes. When creating an event you can add multiple-choice registration questions. Once someone has registered, the questions can no longer be changed.
How do I create promo codes?
Go to Manage → Promo codes and create a code, choosing what it applies to and how much discount it gives.
How do I manage my bookings and clients?
Manage → Client bookings (also a tab under Bookings) shows everyone who booked with you. From a booking you can message the client, mark a no-show, reschedule or cancel. If you cancel, the client gets a full refund.
How do I upload my certificates?
On your Profile, open Certificates and upload your qualifications. Our team uses them to verify you. Verification confirms that documents were submitted and reviewed; it isn't a guarantee of the document itself.
Where do I enter my payout and payment details?
Go to Manage → Payouts & KYC. Enter your legal name, business registration number, registered address, bank details (IBAN/BIC) and VAT (BTW) registration. Our team reviews the details before your first payout.
Why do I need a VAT (BTW) registration?
Experts sell under their own business, so we need your VAT registration to issue correct invoices and meet tax reporting rules.
What does bookaLEAP charge?
bookaLEAP takes a commission on each paid booking, which covers the platform and payment processing. You can see the exact breakdown for every sale under Earnings and in your Invoices.
How and when do I get paid?
Your earnings build up in your balance under Earnings. When you're ready, request a withdrawal of your full balance; you'll see a preview including any fee before you confirm. We pay withdrawals by bank transfer (SEPA) to the account in your payout details.
Where do I find my invoices?
Under Manage → Invoices. For each paid booking you'll find the documents that apply — such as the invoice to the client, the self-billed invoice on your behalf, and credit notes — as PDFs.
How do I create a Location, Community or Brand?
Go to Profile → My Organizations and choose to create one. Pick the type, add the details and submit. Our team reviews it before it becomes public.
Why is my organization pending?
Every new organization is reviewed by our team. It stays hidden until it's approved; you'll be notified when that happens.
How do I invite members, and what do the roles mean?
From your organization's Manage → Members page, invite people as Admin (can manage the organization, its members and events) or Expert (hosts events for the organization). The invitee accepts from their Pending invitations.
How do I join a community?
Open the community's page and choose Join. You'll be notified about its new events. You can Leave at any time.
How do organization earnings and payouts work?
Organizations have their own earnings, invoices and payout details, separate from the Experts' personal ones. Owners and Admins manage them from the organization's Manage page.
How do I block or report someone?
In a conversation, open the menu to block the person or report a message. Our team reviews every report.
How do I report a review?
Open the review's menu and choose Report this review. Our team reviews reported reviews.
Where can I read the Terms, Privacy Policy and Code of Conduct?
All our legal documents are on the Legal page.
How do I contact support or share feedback?
Use the Contact page to reach our team. If you're signed in, you can also send us feedback from the app — we read every message.
